Send New Mail Notification to Phone

Is there a way to have an Office 365 business account send only a notification or SMS to another email/phone without sending the entire email? I only want notifications when an email was received on that account, not the entire email.

Sure, you can forward notifications to your smartphone. You won't be able to forward to another address as this will forward the entire message, but using a SMS address will limit the message size.

You'll need to create a rule to forward to SMS, using your device’s electronic address. Many providers use phonenumber@provider format. See Send SMS or Text Messages to Cellular phones for more information and address formats for popular US carriers.

This is not limited to Exchange accounts; it works with all account types.

Create the Rule:

  1. Open Manage Rules and Alerts
  2. Click New Rule
  3. Select Send an alert to my mobile device when I get messages from someone
    sms rule

  4. Select the conditions. If you want to receive text alerts for all messages, untick from people or public group
  5. Click on people or public group (in forward it to).
  6. Type your device’s email address in the To field then press Ok.
    add the phone's address
  7. Add Exceptions, if needed, then click Finish.

Outlook will send the subject, sender, and received time to your device. SMS message samples

If you use a regular email address, the entire message will be forwarded.
